Modernization approach

Ellucian SaaS is not a lift-and-shift exercise. Direct database access, unmanaged schedulers, and in-place Colleague customizations are no longer available. Our approach is built around two structured phases: migration solution design, followed by controlled implementation and post-launch stabilization.
Phase 1. Migration solution design
This phase establishes a complete and realistic blueprint for moving your Colleague environment into SaaS. We focus on understanding how your institution actually operates today and how that operation must be re-expressed in a governed SaaS architecture. The outcome of this phase is a Migration Solution Document that defines scope, sequence, dependencies, and effort across the entire modernization.
Customization & baseline analysis
Assess the current Colleague environment in depth, including active modules, Envision BASIC routines, computed fields, co-files, batch logic, UI customizations, and reporting dependencies. Each customization is evaluated against Ellucian SaaS constraints to determine whether it should be retired, refactored, externalized, or replaced by configuration or supported extensibility mechanisms.
Integration landscape mapping
Inventory all inbound and outbound integrations, including Ethos-based integrations, APIs, events, file-based exchanges, scheduled processing, and third-party system dependencies. These integrations are mapped to SaaS-compatible patterns using Ethos APIs, event-driven flows, and Data Connect pipelines, with explicit attention to sequencing, error handling, retries, monitoring, and governance.
Data migration and data model planning
Analyze Colleague data structures, multi-value fields, cross-module dependencies, and historical data requirements. This analysis defines data extraction, transformation, and loading strategies, including sequencing rules and reconciliation checkpoints, to ensure data integrity during and after the transition to SaaS.
SaaS readiness, performance, and compliance review
Evaluate workload characteristics, operational dependencies, and security requirements to confirm readiness for the SaaS operating model. This includes alignment with FERPA, PCI, and institutional governance standards, as well as validation of how controls and auditability are achieved in a SaaS environment.
SaaS capability alignment using CARM
Using Ellucian CARM, as part of Ellucian’s Navigate to SaaS approach, we align institutional processes and configurations with standard SaaS capabilities and supported practices. This step explicitly identifies gaps between current practices and SaaS delivery expectations, enabling informed decisions about process and operational changes before implementation begins.
Customization adaptation roadmap
Define a clear strategy for how existing institutional logic will function in SaaS. We design SaaS-appropriate solutions using configuration, Experience-based extensions, workflows or intelligent process actions, custom APIs where supported, Data Connect pipelines, Ethos APIs and event subscriptions, and governed integration patterns that remain compatible with Ellucian’s update cycle.
Phase 2. Implementation
This phase executes the approved Migration Solution Document and delivers a working SaaS environment aligned with Ellucian’s platform architecture.
Customization refactoring and redesign
Our team reimplements institutional logic using SaaS-compliant approaches. Where Envision routines exist today, we refactor, decompose, or replace them with supported mechanisms that stay stable across SaaS releases. This removes dependency on in-place custom code and reduces long-term maintenance risk.
Data migration and validation
We migrate data from the on-premises Colleague environment using controlled extraction and transformation processes, with sequenced loads where required. To confirm correctness, we perform reconciliation and validation checks that verify completeness, accuracy, and consistency across all migrated domains.
Integration modernization
Our team replaces legacy integrations with scalable, event-driven, and API-based connections through Ethos and Data Connect. Operational reliability remains central, so we implement monitoring, error handling, retry logic, and production-grade visibility across the integration landscape in alignment with SaaS governance and operational ownership boundaries.
Testing and operational validation
Before cutover, our team validates critical business processes, integrations, and data flows through functional and performance testing in the Ellucian Student web environment and related SaaS components. This testing confirms that key operations continue to run as expected after the transition and that extensions remain compatible with the SaaS operating model.
Deployment and cutover coordination
Cutover activities run in coordination with Ellucian SaaS timelines and platform controls. We validate readiness, execute transition steps, and confirm post-cutover stability, with rollback and mitigation plans defined in advance.
Training and post-migration support
We provide targeted training for technical teams and operational users, ensuring clear understanding of the new SaaS model. Post-go-live support includes monitoring, issue resolution, and stabilization assistance.
