In previous posts we shared our story about building a platform where patients can book scans online, doctors can send referrals, and imaging centers get a steady flow of new clients. One key step is checking if a patient’s insurance will actually pay for the procedure.
Instead of doing this in-house, our customer partnered with an external team that specializes in prior authorization. But there was a catch: they didn’t want this team poking around in the internal admin panel where agents process scan requests.
The solution? We wired up an integration with monday.com. It gave the external team their own workspace to handle prior auth requests, drop in results, and send updates back, while our system kept everything in sync.
How we set up the monday.com workflow
Once a patient wanted to pay for a scan through insurance, our agents filled in a form in the admin panel and generated a prior auth request. At this step, we didn’t just store it in our database. We also sent the request straight to monday.com, where the external team had their own board to work with.
From there, the workflow is simple: the external team opens the item, runs the insurance check, and then uploads a PDF with the result, either approval or denial. They can also update fields or switch the request status. Every time that happens, monday.com pushes us a webhook. Our system picks it up, saves any files to Amazon S3, updates the database, and instantly reflects the change in the internal admin panel.
In other words, the external team works in monday.com, and our agents keep using their familiar tools, but both sides always see the same up-to-date information. No messy handoffs, no double data entry.
Wrapping up
This integration solved a critical piece of the puzzle. Our customer could keep their internal workflows clean and secure, while the external prior auth team got everything they needed in monday.com. Requests, statuses, and files moved back and forth automatically, and agents always had the latest information right inside their admin panel.
